What we ask to see first.

Most automation projects that go wrong were quoted before anyone looked at the real documents. These five things decide whether this works, and none of them can be settled on a call.

Fifty real documents, including the bad ones

Not the clean sample. The crumpled scan, the handwritten note in the margin, the supplier who uses their own layout. Those set the exception rate, and the exception rate decides everything else.

How many actually arrive in a month

Counted, not estimated. People are usually wrong about this in both directions, and the real number changes whether the project is worth doing at all.

How your system takes data in

An API, a file drop, a database, or a screen somebody types into. All four can be made to work. They are not equally quick, and we would rather know now than in week six.

Who decides the odd cases today

There is always one person who knows what to do when the numbers do not match. If those rules have never been written down, writing them down is the first job, and it is useful to you either way.

What happens now when it goes wrong

If a wrong invoice gets paid today and nobody notices for a month, that is a process problem. Automating it makes it faster, not safer. We would fix the checking first.

We are a software company that got into this.

Not an AI startup. We have been building and running business software since 2012 for clients in the US, UK, Europe, Singapore and the Gulf. That matters more than it sounds, because most of this work is not the clever part. It is the plumbing around the clever part.

The hard part is the integration

Reading a document is the easy half. Getting the result into your system correctly, every time, with an approval trail somebody can audit, is the half that takes years of doing it to get right.

We already work inside these systems

ERPNext, Odoo, and whatever custom system somebody built for you in 2011. Our ERP team does this every week. Automation lands on top of that, not beside it.

We will tell you when to stop

Nobody here is paid to convince you that everything needs AI. If the answer is a two-day script, or a change to how the work is organised, we will say so on the first call.

Accuracy and data

How we handle accuracy and your data.

Is our data used to train an AI model?

No. We use business accounts with the model providers, where your data is not used for training. If you would rather nothing left your building at all, we can run models on your own servers instead. It is slower to set up, and for some companies it is the only acceptable answer.

What happens when it gets something wrong?

It will, sometimes. That is why a person approves anything that matters. The system says how sure it is, and anything below the line you set goes to a human. You decide where that line sits, and you can move it once you trust it.

Where does everything actually run?

Wherever you want it. Your cloud account, your own servers, or ours. We write it down before we start so there are no surprises, and we sign your NDA.

Will this work with the systems we already have?

Usually yes. Most business systems have a way in, and where there is not one we work with the files and emails they produce. We check this before anything is agreed, not after.

Are we locked in to you?

No. The code sits in your repository and the accounts are in your name. If you want to take it in house or hand it to someone else, everything you need is already yours.

What if it stops working in six months?

Things change. A supplier alters their invoice layout, someone adds a field. We hand over documentation so your team can adjust it, and we can stay on for support if you would rather we did.
